Collections

A collection is a list of files and folders that you put together yourself. It is not a folder. Adding an item to a collection does not move it and does not make a copy of it: the collection only points at the item, which stays where it is. The same file can belong to several collections at once.

Collections are useful for gathering items that live in different folders, so that you can download them in one go, or publish them all under a single web link.

Collections belong to the account that created them. Other users do not see your collections, and you cannot change somebody else's.

Creating a collection

  1. Open Collections in the panel on the left.
  2. Click New collection on the toolbar.
  3. Type a name and confirm.

Inside the Collections section you can also press the + key.

Adding files and folders

  1. Select the items, right-click them and choose OrganizeAdd to...Collection....
  2. A window lists your collections. Select one and click Add to collection. To make a new collection instead, click Create a new collection.

You can also drag items from the file list onto a collection in the left panel.

Folders can be collection members, not only files. Adding one collection to another copies over the items of the first one.

Two things cannot be added to a collection:

Working with a collection

Open a collection to see what is in it. The file list behaves as it does anywhere else: you can preview the files, edit them, and open the folder that a member item really lives in through Show file location.

Downloading it

Open the collection and click Download collection. You receive one Zip archive containing a folder named after the collection, with every member inside it. You need the permission to download folders.

Sharing it

A collection can be published as a web link, so that people without a FileRun account can open it. Right-click the collection, choose Share, and create a link under the links section, exactly as you would for a folder. See Sharing with links.

A collection cannot be shared with other FileRun users. Only a web link is possible. To share the items themselves with a user, share the files or the folders they are in.

Renaming it

Right-click the collection and choose Rename, or select it and press F2.

Removing an item from it

Right-click the item inside the collection and choose Remove from collection. Only the entry in the list is removed. The file itself is untouched and stays in its folder.

Removing the collection

Right-click the collection and choose Remove collection. The files and folders it listed are not deleted. Any web link published for the collection is removed with it.

Photo albums

A photo album is a collection that is meant for images. It is created and used in the same way, but it is listed under MediaPhotosAlbums instead of under Collections, and it opens in the Photos layout, which lays the pictures out at their real shape rather than in a list.

Photo albums appear only when the Photos media library is enabled. See The media libraries.
